A scheduled report is a dashboard, chart or table that is generated and delivered automatically on a timetable: every morning at 7, every Monday, the first working day of the month. It arrives as a PDF, an image or a message in the place people already look — email, Slack, WhatsApp, Telegram — without anyone opening the BI tool, exporting and forwarding.
Scheduled reports are for the people who will not open a dashboard. Owners, board members, franchisees, regional managers and clients often want the numbers brought to them at a fixed time, in a fixed format, so that Monday morning starts with the pack rather than a search for it. A hospitality group sends each general manager yesterday’s covers and labour cost at 6am and the area manager a ranked summary. A finance team sends the board pack on the third working day, automatically, every month.
Two things separate a useful schedule from a nuisance. First, personalisation: the same report should reach each recipient with only their rows, so one schedule serves 40 managers. Second, a record: a PDF generated at send time is a snapshot that can be filed and referred to, whereas a link shows today’s numbers, not the ones people saw last week. Rule of thumb: send fewer reports, at consistent times, each with a comparison built in.
