The KPIs every business should track, by department

The best KPI set is short, agreed and watched. This list is a starting point by department; keep the handful that change decisions and drop the rest.

For owners and leaders

  • Revenue vs plan (daily, monthly, year to date) — the heartbeat.
  • Gross margin — revenue is vanity if the margin is gone.
  • Cash and runway — cash in bank, receivables, payables.
  • Customers gained and lost — growth is net of churn.

Finance

  • Debtor days and creditor days — how fast cash moves.
  • Budget vs actual by department — with variance explained.
  • Cost per unit or per order — what it really costs to deliver.

Trap: reporting monthly what could be watched daily.

Sales and marketing

  • Pipeline by stage and win rate — enough coverage for next quarter?
  • Customer acquisition cost and payback — by channel, not in aggregate.
  • Conversion through the funnel — where prospects fall out.

Trap: counting leads without counting revenue from them.

Operations and support

  • On-time delivery / OEE / throughput — pick the one your business runs on.
  • Quality — defects, returns, rework, complaints.
  • Response and resolution time — with satisfaction beside it.

Define each KPI once and use that definition everywhere — it is the single most common source of "two people, two numbers". In Klayara a metric is defined one time and every dashboard, report and AI answer uses it. Formulas & calculations.

Something else on your mind? Ask us directly — a person answers.

How many KPIs should a business track?

A short, agreed handful — typically five to seven per role — that actually change decisions. Start from a list by department, keep the ones people act on and drop the rest.

What KPIs should a business owner look at every day?

Revenue against plan (daily, month to date and year to date), gross margin, cash and runway, and customers gained and lost. Everything else can be weekly or monthly.

Why do two people report different numbers for the same KPI?

Because the KPI is defined differently in each place — revenue with or without refunds, for instance. Define each KPI once and use that definition in every dashboard, report and AI answer.
