Alerts and automations

Alerts that fire when it matters. Reports that send themselves.

Most dashboards wait to be opened. Klayara automations go to the people who need to act: the Monday sales pack in every manager's inbox, a WhatsApp message when daily collections fall below target, a Slack post the moment a high-value order is cancelled. Set the trigger, choose the channel, send a test, and every run is logged.

What is a KPI alert?

A KPI alert is a message sent automatically when a business number meets a condition, such as daily sales falling below target or overdue receivables passing a limit. In Klayara any chart can become an alert in one click. Alerts fire on a schedule, when a number crosses a threshold, or when a new matching row appears, and arrive by email, WhatsApp, Slack, Telegram or webhook.

Data alerts: get notified when sales drop

A data alert watches a number so nobody has to. Pick the chart that already shows daily sales by branch, set the line — below 80% of target, say — and Klayara checks it for you. When the line is crossed, the people you chose get a message with the value seen and the threshold it crossed, while there is still time to act on it.

Because the alert is built from a chart, it uses the same definitions as the dashboard. If "net sales" excludes returns on the dashboard, it excludes them in the alert too. A finance team can build the chart on a formula such as month-on-month change or budget variance and alert on that, rather than on a raw total.

  • Alert from any chart in one click
  • Fires once when the line is crossed, then waits before repeating
  • Snooze an alert during a known event, such as a stock count
  • The value seen and the threshold are written into the message

Business alerts on WhatsApp, Slack, Telegram and email

Alerts and reports go where people already read. Klayara delivers to five channels: email, WhatsApp, Slack, Telegram and webhooks. A regional manager on the road gets the overnight sales summary on WhatsApp; the finance channel in Slack gets the weekly receivables position; another system receives a webhook when a condition is met and takes it from there.

Each delivery runs on any day and hour you choose, in the recipient's own time zone, so a group with offices in Dubai and London sends the 09:00 report at nine in each office. Scheduled emails can go out from your company's own email domain, so they look like they come from you.

Threshold alerts and new-record alerts: three ways to fire

Every automation starts with one of three triggers. A schedule sends something at a fixed time, such as the Monday dashboard email. A threshold fires when a number crosses a line, such as stock cover falling under ten days. A new-row trigger fires when a matching row appears, such as a refund over a set amount or a new enterprise lead.

New-row alerts can arrive as a single digest or as one message per row. A sales director may want every new deal over a certain size individually; an operations head would rather see a single summary of all orders delayed today. Message templates can include the count and the row's own details, such as customer, amount and owner.

Automated reports: the board pack that sends itself

An automated report is a dashboard delivered on a schedule as a PDF or image. Klayara renders board-ready, multi-page PDFs and lets you pick exactly which sections and charts go in, so the monthly pack carries the profit and loss summary, the receivables ageing and budget versus actual, and leaves the working pages out.

Each recipient's copy is rendered with only their rows. One schedule sends the branch performance report to twelve branch managers, and each one receives a PDF showing their own branch, because row-level permissions apply to scheduled reports exactly as they do on screen. Scheduled PDF and image reports by email are part of every plan.

  • Multi-page PDFs or images, ready for the board
  • Pick the sections and charts that go in
  • Rendered per recipient, with only their rows
  • From your own email domain, if you prefer

Build, test and trust an automation

The builder has three steps: trigger, action, review. The review step writes out in plain words exactly what will happen — "Every weekday at 08:00, send the Collections dashboard as a PDF to the finance team by email" — so there is no doubt about what you have switched on.

Before relying on a new alert or channel, send a test message and check it arrives the way you expect. After that, the run log records every check: the value seen, whether the alert fired, and whether each channel delivered. When someone asks why they did not get Tuesday's alert, the log answers it.

Ready-made automations and refresh health alerts

Four ready-made automations cover the common starting points: a daily dashboard email at 09:00, a threshold alert carrying the value and the line crossed, a new-record alert the moment a matching row appears, and a weekly Slack report every Monday at 09:00. Start from one and change the details.

Separately, Klayara watches its own data refreshes. If a scheduled refresh fails you get one alert, and another when it recovers; after three failures in a row the schedule pauses itself instead of retrying forever. So the people who own the data know when a refresh needs attention.

How it works

From first click to everyday use.

Choose the trigger

A schedule, a threshold on any chart, or a new matching row in a table.

Choose the action

Send a dashboard PDF, an image or a message by email, WhatsApp, Slack, Telegram or webhook.

Review and test

Read the plain summary of what will happen and send a test message before switching it on.

Let it run

Every check is logged with the value seen and delivery status; snooze or adjust whenever you need.

FAQ

Alerts and automations questions, answered.

Something else on your mind? Ask us directly — a person answers.

Can Klayara send alerts on WhatsApp?

Yes. WhatsApp is one of five delivery channels, alongside email, Slack, Telegram and webhooks. Both threshold alerts and scheduled reports can be sent there, so a manager away from a desk still sees the number.

How do I get notified when sales drop?

Open the chart that shows sales, turn it into an alert and set the line, such as below target or below last week. When sales cross it, Klayara sends the value seen and the threshold to the people and channels you chose, then waits before repeating.

Will an alert keep messaging us every few minutes?

No. An alert fires once when the line is crossed and then waits for a cooldown before it can repeat. You can also snooze it, for example during a stock count or a known system migration.

Do scheduled reports respect permissions?

Yes. Scheduled PDF and image reports are rendered for each recipient with only the rows they are allowed to see. One schedule can serve every branch manager, each receiving their own branch.

How can I check that an alert actually ran?

Open its run log. Every check is recorded with the value Klayara saw, whether the alert fired, and whether each channel delivered. You can also send a test message from the builder before switching an alert on.

Which plan includes alerts and automations?

Alerts, the three trigger types and the WhatsApp, Slack, Telegram and webhook channels come with the Growth and Enterprise plans. Scheduled PDF and image reports by email are part of every plan.

Can an alert send data to another system?

Yes, through a webhook. When the trigger fires, Klayara sends the details to an address you provide, so a ticketing tool, an internal app or a workflow service can act on it automatically.
