Dashboard template

Where the money goes, and which suppliers deliver.

A procurement dashboard template is a ready-made page for buyers and finance: spend by supplier and category, open and late purchase orders, supplier on-time delivery, price changes on key items and how much spend runs under contract. Connect your ERP or purchasing system, and ask Klayara AI in plain words which suppliers raised prices this quarter.

Procurement & spend

Spend by supplier, late orders and price changes.

Purchasing data is usually the most complete data a company has — every purchase order, goods receipt and supplier invoice is already in the ERP — and the least read. This template turns it into the page a procurement lead and the finance team look at together: how much is spent with whom, whether it is under an agreed contract, which orders are late and which prices are creeping up. It sits naturally next to the inventory and stock template, which answers what to buy; this one answers how well you buy it.

Purchase orders, receipts and supplier invoices come from your ERP or accounting system — SAP, Microsoft Dynamics, NetSuite, Odoo and Oracle are the usual ones — and contract prices and preferred suppliers from a spreadsheet if they are not in the system. Category budgets can come from the same sheet, so spend against budget appears without extra work. Each buyer can be limited to their own categories or sites with a row-level rule.

In the monthly supplier review, Klayara AI, on Growth and Enterprise, answers "which suppliers raised unit prices more than 5% this quarter?" with a real chart, and Why did this change? explains a jump in category spend in plain words. Describe an alert — "email me when a purchase order is more than a week late" — and Klayara AI drafts the automation to review. The supplier pack can go out by email, Slack, WhatsApp or Telegram.

  • Procurement leads who run a monthly supplier review and want one page, not an export.
  • Finance teams tracking spend against budget and looking for savings in off-contract buying.
  • Operations and site managers who need to know which orders are late before production or service is affected.
The metrics

What a procurement & spend dashboard should show.

Each figure below is on the template from the first minute — rename, redefine or remove any of them.

Spend vs budget

Total purchasing spend this month and year to date against budget, by category.

Spend under contract

Share of spend placed with suppliers on an agreed contract or price list — the rest is where savings usually sit.

Open purchase orders

Value and count of purchase orders raised but not yet fully received.

Late purchase orders

Orders past their promised delivery date, by supplier and by how many days late.

Supplier on-time delivery

Share of order lines received on or before the promised date, over a rolling 90 days.

Price variance

Unit price paid against contract or last price for key items, in money and percent.

Supplier concentration

Share of spend with the top five suppliers, so dependence on a few is visible.

Purchase order cycle time

Median days from requisition to purchase order, and from order to receipt.

The panels

The charts on the page, and the decision each one supports.

Spend by category

A treemap of spend by category and sub-category; click a box to see its suppliers.

Supplier league table

Spend, on-time delivery, price variance and open orders per supplier, ranked by spend.

Open and late orders

A table of open purchase orders with promised dates, sorted with the latest first — the list the buyer works through.

Price trend for key items

Unit price over 13 months for the items that make up most of the spend, against the contract price.

Off-contract spend

Purchases from non-preferred suppliers or above the agreed price, by requester and category.

FAQ

Procurement & spend template questions.

Something else on your mind? Ask us directly — a person answers.

What is a procurement dashboard?

A procurement dashboard is a single page showing what a company spends, with which suppliers and in which categories, how much of it is under contract, which purchase orders are open or late, and how supplier prices and delivery performance are changing.

Which procurement KPIs matter most?

Spend against budget, spend under contract, supplier on-time delivery, price variance on key items and late purchase orders. Supplier concentration and order cycle time are useful second-line measures.

Where does the data come from?

Purchase orders, goods receipts and supplier invoices come from your ERP or accounting system. Contract prices, preferred suppliers and category budgets can come from a spreadsheet if they are not kept in the system.

Can each buyer see only their own categories?

Yes. A row-level rule by category, site or buyer limits each person to their own purchasing on the dashboard, in downloads and in scheduled reports.

Can Klayara AI find suppliers whose prices went up?

Yes. Ask in plain words — for example "suppliers whose unit prices rose more than 5% this quarter" — and Klayara AI returns a real chart from your purchasing data, within your permissions. Klayara AI is on the Growth plan (150 AI credits a month for the workspace) and Enterprise, and runs only when someone clicks.
