Dashboard template

Headcount, attrition and hiring, with salaries kept private.

A people dashboard for HR and line managers: who is joining and leaving, where attrition is concentrated, how long roles take to fill, and where absence is climbing — with pay columns visible only to the people who should see them.

HR & people

Headcount, attrition, hiring and absence.

People data is the most sensitive data most companies hold, which is why it usually stays in one HR spreadsheet that one person updates. This template lets HR publish the numbers managers need — headcount, leavers, absence, open roles — while pay, performance ratings and personal details stay hidden with column-level permissions. A manager sees their own team and nothing else.

It reads from your HR system, applicant tracking tool or the spreadsheets you already keep, joined to the ledger for workforce cost. Attrition is broken down by manager, tenure band and department, because “12% attrition” hides the one team at 40%.

The hiring funnel is built the same way as a sales funnel: applications through to accepted offers, by role and source, so recruiting spend is judged on hires rather than applicants. For the broader picture of which measures matter by department, see the KPIs every business should track.

  • HR leads who want to give managers their own team numbers without sharing the master spreadsheet.
  • Line managers who need headcount, absence and open roles for their team on one page.
  • Founders and finance leads watching workforce cost against revenue as the company grows.
The metrics

What a hr & people dashboard should show.

Each figure below is on the template from the first minute — rename, redefine or remove any of them.

Headcount

Full-time equivalents today against the workforce plan, by department and location.

Attrition rate

Leavers in the last 12 months ÷ average headcount, split voluntary and involuntary, by manager and tenure band.

Regretted leavers

Voluntary leavers HR flagged as regretted ÷ all leavers. The figure that separates healthy turnover from a problem.

Time to hire

Median days from role approved to offer accepted, by role family and recruiter.

Offer acceptance rate

Offers accepted ÷ offers made. A falling rate usually means pay or process, and this shows which role family.

Open roles vs plan

Approved vacancies, days open and how many are behind the plan start date.

Absence rate

Sick days ÷ working days, by team and month, with long-term absence separated.

Workforce cost

Payroll and contractor cost as a share of revenue, monthly, from the ledger. Visible to HR and finance only.

The panels

The charts on the page, and the decision each one supports.

Headcount by department, 24 months

Stacked area of headcount against the plan line. Shows where growth actually went versus where it was budgeted.

Joiners and leavers by month

Joiners above the axis, leavers below, net as a line. Makes a quiet run of leavers visible before the exit interviews pile up.

Hiring funnel

Applied → screened → interviewed → offered → accepted, by role and source, with days at each step. Decides which source and which step to fix.

Attrition by manager and tenure

A heatmap of attrition by manager and tenure band. Points to a management issue or an onboarding issue — they look different here.

Absence by team and week

A heatmap of absence rate by team and week. Catches a team under strain before it becomes attrition.

Pay bands and equity

Salary distribution by band, level and gender, for HR and finance only. Column-level permissions hide it from everyone else, on every page and download.

FAQ

HR & people template questions.

Something else on your mind? Ask us directly — a person answers.

What should an HR dashboard include?

Headcount against plan, attrition split by manager and tenure, time to hire and offer acceptance, open roles, absence rate and workforce cost. Keep pay and performance data on a restricted panel so the rest can be shared widely.

Can managers see only their own team?

Yes. A row-level rule on the manager or department column gives each manager their own team on the same dashboard, and column-level rules hide salary and personal fields from anyone outside HR and finance — on the page, in downloads and in scheduled reports.

Our HR data is in spreadsheets. Does that work?

Yes. Connect the Google Sheet or upload the Excel workbook and Klayara treats it like any other table; re-upload or edit the sheet and the dashboard updates in place.

Can we start from this template and change it?

Yes. Add engagement survey scores, training completion or a diversity panel, and remove anything you do not track. It becomes an ordinary dashboard as soon as you edit it.
